1. Who we are
Verbatim ("we", "us", "our") is an AI-powered communication coaching platform operated in Australia. We are committed to handling your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2. What information we collect
Account information
When you create an account, we collect your name, email address, and password (stored as a salted hash). For paid plans, payment is processed by Stripe — we do not store your card details.
Session data
When you use Verbatim, we collect audio recordings of your practice sessions, transcripts, and the metrics derived from them (pace, filler words, clarity score, and similar). This data is tied to your account and is never shared with third parties for advertising purposes.
Usage data
We collect standard web analytics data: pages visited, features used, session duration, and device/browser information. We use this to improve the product.
Communications
If you contact us by email, we retain those communications to respond to your inquiry and improve our support.
3. How we use your information
- To provide and improve the Verbatim platform
- To personalise your coaching experience and learning path
- To send transactional emails (session summaries, billing receipts)
- To send product updates and coaching tips (you may unsubscribe at any time)
- To detect and prevent fraud or misuse
- To comply with legal obligations
We do not sell your personal information. We do not use your session recordings or transcripts to train general-purpose AI models without your explicit consent.
4. Who we share your information with
We share your data only with trusted service providers who help us operate the platform, including cloud hosting (AWS, Sydney region), payment processing (Stripe), and analytics. All providers are bound by data processing agreements consistent with Australian privacy law.
If you use the Coach Integration Portal, your progress dashboard is shared with the coach you explicitly designate. You may revoke this access at any time.
5. Data retention
We retain your account and session data for as long as your account is active. If you delete your account, we delete your data within 30 days, except where retention is required by law.
6. Your rights
Under the Australian Privacy Principles, you have the right to access, correct, or request deletion of your personal information. To exercise these rights, email privacy@verbatim.ai. We will respond within 30 days.
7. Security
We use industry-standard encryption (TLS in transit, AES-256 at rest), access controls, and regular security reviews. No system is perfectly secure, but we treat the protection of your data as a core responsibility.

9. Changes to this policy
We may update this policy from time to time. If we make material changes, we will notify you by email and update the "last updated" date above. Continued use of Verbatim after changes constitutes acceptance.
